SQVI and SQ01 are two different transaction codes used in SAP for query development.

  1. SQVI (QuickViewer): SQVI is a simple and user-friendly transaction that creates basic ad-hoc queries in SAP. It allows users to define reports without the need for extensive programming knowledge. SQVI provides a graphical interface where you can select tables, and fields, and apply filters to retrieve data. It is typically used for quick data analysis and reporting requirements.

Key features of SQVI:

  • Easy-to-use graphical interface.
  • Limited options for complex query development.
  • Can only access single tables or join tables using simple conditions.
  • Limited options for formatting and advanced calculations.
  • Suitable for basic reporting needs and quick data analysis.
  • Do not require to be assigned to a User Group to execute.
  1. SQ01 (Query): SQ01 is a more comprehensive and advanced transaction used for creating complex queries in SAP. It provides a broader range of options and functionalities compared to SQVI. SQ01 allows you to define sophisticated reports by utilizing logical databases, complex joins, user-defined functions, and other advanced features.

Key features of SQ01:

  • Offers a broader range of query development options.
  • Can access multiple tables using complex join conditions.
  • Supports logical databases, which provide pre-defined data structures for commonly used reports.
  • Enables the creation of user-defined functions and formulas.
  • Provides more advanced formatting and layout options.
  • Suitable for complex reporting requirements and customized data analysis.
  • SAP User must be a part of the User Group assigned to the InfoSet Query for execution.

In summary, SQVI is a quick and simple tool for basic ad-hoc queries, while SQ01 offers more advanced capabilities and flexibility for complex query development and reporting. The choice between SQVI and SQ01 depends on the complexity of the reporting requirements and the level of customization needed.

How to create an SAP Query using SQ01?

  • Begin with Transaction SQ03 to create a User Group and here assign Users who should execute the related Queries.

Example: User group: AB

Description: India Logistics Team

Add All SAP Users inside it.

  • Navigate to InfoSets via Environment Menu to create a new InfoSets where we will connect the required SAP Tables in a logical way to create a report via SAP Query.

Example: Z_AB_SALES_DATA

Description: India Sales Data

Choose Authorization Group as AB, Enter Description, Choose Table Join using basis tables in our case or others like direct read or via logical database depending on your query complexity and create.

Use Icon Join to Insert Tables as per your requirement:-

Like VBAK, VBAP, VBEP, KNA1, ADRC etc.

Always remember to create links between them using a primary key, Although SAP creates it automatically, You may delete unwanted links and relink them as per your logic.

Example links between KNA1 & ADRC and other tables are depicted below:-

Delete the link you think is unnecessary by right click and deleting And creating New Links.

At last, once all the links are properly done. Click on Infoset and choose Include Key Fields to add to the Field groups.

Select the Field and drag and drop to the right side Field groups to use it as input or as output for the Query.

Once Done for all the tables, SAP InfoSets can be generated and saved.

Now Navigate to User Group from the Environment menu, Make sure it’s selected to User Group AB and assigned. then again navigate to Query via the Environment menu.

  • Create a New Query and select the Input and output fields necessary for the Query Report.

Example Z_SALES_REPORT Query is created and Fields are selected like below.

Choose Which Field should be the base for Input and output and select accordingly and save.

Then Query is ready to execute and pull the report.

Sometimes, the invoice already sent to the customer contains incorrect pricing and even worse, incorrect quantity. Instead of canceling the billed document, it is suggested to use the Invoice Correction approach. The major difference with other SAP complaint processing documents is that with SAP Invoice Correction Request, the system will create two line items which consist of a credit and a debit item. We will discuss it further as we see the process.

For this tutorial, We will use the scenario involving the marketing admin, the sales manager, and the accounting department. This tutorial is part of our SAP SD course.

General SAP Invoice Correction Request Processing Flow

The whole process began with the normal Sales Order – Delivery Order – Billing sequence until the marketing admin received a complaint from the customer regarding the wrong price or quantity. This issue should be addressed without having to cancel the billing document.

As you may see in the picture, in the last step of the process, the system will generate a Credit Memo (more on this will be explained in the billing process).

SAP Invoice Correction Request – Step by Step

Let’s provide detailed guidance for the processing of the SAP invoice correction requests. We will assume that a previous order to cash process has been completed and we now have a billing document.

Create SAP Invoice Correction Document

You have the previous billing document. Now, let’s create SAP Invoice Correction Request.

  • Run the VA01 transaction, select the sales document type (Invoice Correction Request), and put the necessary sales area.

  • Press Enter button. You have to look up your client’s business process whether they need a previous document to be referenced or it can be made independently. For this document, I will make it mandatory to put the previously generated billing document, so a new pop-up will show up.
  • Fill in the field with the billing document number.
  • Click copy or press Enter button.
Input Billing Document as Reference
  • The copy control procedure will do magic by referencing all of the information taken out from that billing document (partner function information, quantity, even price).
  • The Overview screen displayed upon you is almost identical to your normal sales order creation process except the billing block is now automatically filled (which is set by the configuration). Based on the role, only the authorized person will be able to release it. With respect to the process flow, the marketing manager will remove it by putting it blank.
Create SAP Invoice Correction Request – Overview Screen
  • Let’s select the “Sales” tab. In this tab, we will fill out the “Order Reason” field as one of the mandatory requirements for the SAP invoice correction request document.
Select One of the Pre-Defined Order Reason Based on the Situation
  • Despite being identical to the credit/debit memo request process, the screen is slightly different in the item structure. SAP invoice correction request will automatically create two line items for each material.
  • First Line: Credit item
  • Second Line: Debit item
  • Those line items carry the same value and quantity. In the credit item, the system will credit the full value and you cannot change it; on the debit side, however, you may change the quantity or pricing. The net value will reflect the calculation between credit and debit items.
Change Either Price or Quantity in The Second Line Item

Look at the Net Value: the Calculation is Coming from Line Item One Minus Line Item Two You also can change the price. If that is the case, do the following:

  • Select the second line item.
  • Click the “conditions” button.

Now, we are ready to save the document. Just in case, check the incompletion log and then click on the save button.

Release SAP Invoice Correction Request

Based on the segregation of duties profile, a marketing admin will not be authorized to release SAP invoice correction requests. Based on our scenario, only the Sales Manager can review the document and make a justification for whether or not this new document is granted to be billed to the customer.

1. The Sales Manager may run the standard report to look up if there is a new complaint document created today through transaction VA05N. In the selection screen, put the necessary information to filter out the document specific to the Invoice Correction

Request. Click the Execute button.

  • . Run the transaction VA02 and open the document number you have found in the previous step.

  • The Sales Manager is authorized to release the document by putting a blank value in the “Billing block” field if he agrees to release it.

  • . If the Sales Manager decides to reject the document, he may select an appropriate value from the drop-down list of the ‘Reason for Rejection” field.

  • Either way, click the “Save” button.

Create Credit Memo

SAP Invoice Correction Request is an “order-related billing” document. The released document is eligible for creation of a billing document. For this tutorial, the authorized person to create the billing is the Accounting Department. They will run the transaction VF01 to create a credit memo.

Note that in the SAP standard system, the invoice correction request is characterized as a credit memo request, thus whether the net value results in positive or negative, the system will always generate a credit memo based on the standard copy control procedure.

If, for example, you want the system to create a debit memo for a negative amount of net value and generate a credit memo for a positive amount of net value, you have to create additional documents in the customizing and configure the copy control accordingly.

  1. Type in the SAP Invoice Correction Request document, select the “Billing Type” and put the Billing Date as well. You can leave them blank and the system will copy them from the document creation date. Press Enter.

  • Before you can save it, you might want to input text(s) for print-out purposes.

  • Click the save button and voilà. You now have a credit memo invoice that basically creates a new revenue item.
Find the Document Number
  • After the credit memo billing has been created, we can check the generated accounting document. Run the transaction VF03. It will call your billing document automatically.

The account receivable line for the customer is coming from the net value of the difference between credit and debit (first and second item) in the SAP invoice correction request (which is obviously copied to the billing process).

  • If the remaining net value is negative, it will generate a debit posting key
  • If the remaining net value is positive, it will generate a credit posting key

When selecting an implementation and deployment option for SAP S/4HANA, organizations should consider factors such as their business needs, budget, IT infrastructure, and resources. It is recommended that organizations work with an experienced SAP partner to help them evaluate and select the best deployment option for their unique needs.

  • The change pointers technique automatically initiates the outbound process when we create or change master data.
  • When we want to reflect changes made to master data (i.e. customer master, vendor master, material master) visible to other clients listed in the customer distribution model, we follow the change pointer technique.
  • The change pointers technique is based on the change document technique, which tracks changes made to key documents in SAP, such as the material master, customer master, vendor master & sales orders.
  • Changes made to a document are recorded in the change document Header table CDHDR and Item table CDPOS.
  • Additional change pointers are written in the BDCP and BDCPS tables.
  • BDCPS table stores the status of changed documents processed or not.
  • The SMD (Shared Master Data) tool is connected to the change document interface. If the master data changes are to be distributed, the application writes a change document.
  • The contents of the document are passed to the SMD tool. The tool writes change pointers, reads the application data, and creates the Master IDoc.
  • In simple words, if we change anything in SAP, like a material master, vendor information, etc. It will create an entry in the change pointers table (BDCP, BDCPS).
  • After that, we run the RBDMIDOC program to pick up these change pointers and send the IDOC to other systems to reflect the changes appropriately.

Change Pointers – Configuration

Step 1: Enable Change Pointers Globally

  • Go to transaction BD61.
  • Check the flag, go to Activation Status, and click on save.

Step 2: Enable Change Pointers for a Message Type

  • Go to transaction BD50.
  • Click on New Entries and enter Message Type and check the Active flag and click on Save.

Step 3: Specify the Fields for which Change Pointers are to be written

  • For standard master data objects such as the material, customer, and vendor objects, SAP already provides a list of fields for which change pointers are written.
  • If we want to add new fields, we must add entries for the required fields.
  • If we are not interested in IDocs being generated for changes to a particular field, we can remove it from the list.
  • For example, if we do not want to distribute the material master for changes made to the Catalog Profile (RBNRM) field, we can delete this entry from the table.
  • Go to transaction BD52.
    In the pop-up, enter the Message Type and click on Continue.
  • Click on New Entries, add the Table Name and Field, and click on Save.

Step 4: Changing a Field in the Master Data

  • Change a field in the master data object for which the change pointer is enabled.
  • For example, if we change the net weight of a material in the material master data, a change pointer is written.

Step 5: Executing program RBDMIDOC to process Change Pointers

  • Execute program RBDMIDOC to initiate the process of generating an IDoc.
  • On the selection screen, specify the message type and click on Execute. For example, if we specify MATMAS. After we execute the process, it displays the number of entries processed.

  • IDoc is an acronym for Intermediate Document.
  • IDoc is an SAP object that carries data of a business transaction from one system to another in the form of an electronic message.
  • An IDoc is a container for exchanging data between R/3, R/2, and non-SAP systems.
  • The purpose of an IDoc is to transfer data or information from SAP to other systems and vice versa.
  • The transfer from SAP to the non-SAP system is done via EDI (Electronic Data Interchange) subsystems whereas for transfer between two SAP systems, ALE (Application Link and Enabling) is used.
  • IDoc Types

    • IDoc can be triggered in the SAP system or in EDI (Electronic Data Interchange) subsystem.
    • This depends on the direction in which IDoc is sent and is called Inbound IDoc and Outbound IDoc accordingly.
    • Inbound IDoc: IDocs that are received into the system are termed Inbound IDocs.
    • Outbound IDoc: IDocs that are sent outside the system are termed Outbound IDocs.

    IDoc Structure

    • IDoc structure is divided into Control Records, Data Records, and Status records.
    • These records are stored in transparent tables in SAP. These are EDIDC, EDID4 or EDID_OLD, and EDIDS respectively.
    IDoc Display

    Control Record (EDIDC)

    • All control record data is stored in the EDIDC table.
    • The key to this table is the IDoc Number
    • It contains information like IDoc number, the direction (inbound/outbound), sender, and recipient information, the channel it is using, which port it is using, etc.
    • Direction ‘1’ indicates outbound, and ‘2’ indicates inbound.

    Data Record (EDID4 / EDID_OLD)

    • All data record data is stored in EDID2 to EDID4 tables and EDIDD is a structure where you can see its components.
    • It contains data like the IDoc number, name and number of the segment in the IDoc, the hierarchy, and the data
    • The actual data is stored as a string in a field called SDATA, which is a 1000-char-long field.
    • It contains the details of the IDoc Segments.
    • IDoc Segment has fields that contain the data necessary for posting the documents.

    Status Record (EDIDS)

    • IDoc Status defines the processing status of the IDoc.
    • IDoc status is used to track the IDoc and its various processing states.
    • Status Numbers represent IDoc status.
